How to choose personal trainer software: 12 criteria and a checklist

The right personal trainer software saves you time without locking you in: a clear real price, data you can take back, an app your clients actually use. This guide covers the four types of tools on the market, 12 concrete criteria, a list of questions to ask each vendor and a worked example of the real cost.

The four types of tools

Before comparing software, identify the family of tool that matches your need. Many disappointments come from a platform chosen to manage clients, or a booking tool chosen to track training.

  • Coaching management software

    Clients, programs, nutrition, session tracking, calendar, sometimes invoicing. Strength: all the follow-up in one place, with an app for the client. Limit: it does not bring you clients on its own, and quality varies a lot between vendors.

  • Matching platforms

    They publish your profile and pass on requests. Strength: new clients without prospecting. Limit: a commission on every session or a fee per lead, possible exclusivity, and the client relationship often belongs to the platform.

  • Booking tools

    Online calendar, slot booking and payment. Strength: simple and effective to fill a schedule. Limit: nothing on programs, nutrition or follow-up between sessions.

  • Spreadsheets and messaging apps

    Free and familiar. Strength: no constraints. Limit: everything is manual (sending programs, reminders, follow-ups), work chats mix with personal ones, and it becomes unmanageable beyond a few clients.

The 12 criteria to choose

Criteria go from the most decisive to the most specific. The first four are often enough to rule out half the offers.

  1. The real price, commission included

    Add up the subscription, any commission on payments or sessions, and the payment provider fees. A "free" tool that takes 10% of what you collect costs far more than a flat subscription as soon as your business grows. Do the maths on a typical month (see the example below).

  2. Tiers and the cost of the next client

    Check what happens when you add a client: how many clients are included, the price of the next tier, billing per active client or per registered client. An attractive price at 5 clients can double at 6.

  3. Data you can take back

    Can you export your clients, their programs and their history, in what format, and how quickly? The GDPR gives you a right to data portability; a serious vendor explains how to use it before you need it.

  4. Commitment and cancellation

    Monthly or annual subscription, minimum term, online or postal cancellation, what happens to your data after cancelling: read the terms before entering your clients.

  5. The client-side app

    This is the most underrated criterion: if your clients do not open the app, the software is useless. Check how it installs (app store or browser), the languages, how simple a guided session is, and test it yourself on a phone.

  6. Programs and exercise library

    Size and quality of the library, adding your own exercises and videos, sets, reps, rest, reusable templates, and above all progression over several weeks without copying everything again.

  7. Nutrition

    If you coach nutrition, check where the nutritional values come from: a recognised public database, such as the CIQUAL table from the French food safety agency (Anses), beats a user-fed database with no checks.

  8. Calendar, reminders and booking

    Availability, client booking, recurring sessions, automatic reminders, sync with your personal calendar and cancellation rules: this is what cuts no-shows and back-and-forth messages.

  9. Dedicated messaging

    One conversation per client, with attachments, separate from your personal messages. It is also about confidentiality: your clients talk about their health there.

  10. Compliant invoicing

    If the tool invoices, and you work in France: mandatory mentions, "TVA non applicable, art. 293 B du CGI" under the VAT exemption, continuous numbering, and readiness for electronic invoicing (receiving mandatory since 1 September 2026, issuing by micro-businesses from 1 September 2027). If you coach at clients' homes, also check how personal services tax certificates are handled.

  11. Hosting and data protection

    Where the data is hosted, who can access it, how clients' consent is collected for health data, and whether the vendor uses your conversations for advertising. These answers should be in its privacy policy.

  12. Client acquisition, as a bonus

    Some tools also offer to connect you with clients. It is a plus, not a main criterion: check the commission on those clients, any exclusivity, and whether coach ranking depends on the plan you pay for. Example: working out the real monthly cost

Take a trainer with 8 clients, each doing 4 sessions a month at €45, so €1,440 collected per month. Let us compare two fictional but common models:

  • Tool A: €30 per month subscription, no commission. Cost: €30 per month, or €360 a year.
  • Tool B: free, but a 10% commission on payments collected through the tool. Cost: €144 per month, or €1,728 a year.

In both cases, if payments go through a bank card, add the payment provider fees, around 1.5% + €0.25 per payment for a standard European card with the main providers (example of a public price list). Here the "free" tool costs almost five times more. The gap shrinks if you collect little through the tool: that is why "can I invoice elsewhere?" matters as much as the headline price.

Is there free personal trainer software?

Software or matching platform: which should I choose?

How do I switch software without losing my data?

Ask the old vendor for a full export before cancelling, check that it contains clients, programs and history, then migrate two or three clients first as a test. Keep the old tool in read-only mode for a few weeks if you can.

Do I need software with only a few clients?

Is a spreadsheet enough to track clients?
